Secretary

Reports to: President

Term of Office: The term of office is two years beginning July 1 and ending June 30 of the second year. An elected officer may serve only three consecutive terms or six years on the Board of Directors.

Purpose: The Beta Iota Chapter Bylaws state that the Secretary shall prepare and distribute meeting minutes and correspondence.

Qualifications: The Secretary shall:

  1. Be an active member in the Beta Iota Chapter.
  2. Consent to serve in the position and be elected by majority vote of chapter members.

Responsibilities:

  1. Attend scheduled Board of Directors meetings.
  2. Prepare minutes of Board of Directors and chapter business meetings.
  3. Distribute minutes of Board of Directors and chapter business meetings to BOD, committee, advisory council, and task force chairs.
  4. Serve as the correspondent with other chapters when delegated by President.
  5. Perform such activities as delegated by the President.
  6. Submit minutes of Board of Directors and chapter business meetings and other appropriate chapter documents to the Heritage Advisory Council.
  7. Update the Sigma Theta Tau International online list of new officers within two (2) weeks of the annual election.
  8. Serve as liaison to the BOD or Chair of the Communications Advisory Council.
  9. Collaborate with the UCCON Information Technologist to effectively communicate with membership (e.g., maintain website, publish program flyers or announcements, prepare contents for newsletters-Connections and Link, posters)
  10. Distribute minutes Board of Directors and Committee Chairpersons prior to the next Board of Directors meetings.
  11. Monitor and distribute the Beta Iota mail delivered to the Faculty Support Office.
  12. Obtain updated membership directories, online mailing labels, stationery supplies, Program forms from STTI as needed.
  13. Collaborate with other members of the Board of Directors and with committee, advisory council, and task force chairs to facilitate continuity of chapter programs, events, and activities.
  14. Develop and maintain policies and procedures related to the position of Secretary and Communications Advisory Council.
  15. Attend chapter programs, activities, and events.
